Behind the Scenes

I have a guilty pleasure and it doesn't involve a secret stash of chocolate, but it does occasionally get me in trouble late at night. So what is this secret indulgence? I love behind the scenes documentaries! Ok, so no one said I was a complete rebel, but I do enjoy seeing how things work. Before I started a career in event entertainment, I never really thought about how things got done or how things came together. I don't have a documentary...yet! But, I can let you in on what's going on behind the scenes.

In the wedding entertainment world, we operate in a similar fashion to other big budget entertainment outlets. No, we don't have a multi-million dollar production budget and no, George Lucas isn't hanging out at our Colorado Springs offices. But, what we do have in common is a lot of talented people working on creating memorable events weeks and even months before the event ever takes place.


So what is happening behind the scenes after you book your event? More than you might think. Before you ever said "yes", we have been gathering up to date music, updating and maintaining our equipment, and scouring the internet to keep abreast of the most recent wedding and dance trends. We watch videos, read articles and educate ourselves on the best practices in the industry.

Once we have your date set in our calendar our work begins on your event. We start by gathering details about what is needed to make your event a success. Keeping the details of your event organized and on track is our first priority. Much of the process in the first few weeks is in office generating the contracts, sending out planners, and creating files to keep your event and the details of your event organized and accessible. We may have many events on the books but when we communicate with you, all conversations and notes are updated and documented so that no details are are left out.

Once you receive your reception planner, you will be able to start planning the fun but important details your event. Our office staff now begins our journey as your support system. Have questions? Need advice? Our office staff is full of knowledge ready to help at a moments notice. "How did they get all of that knowledge?" you might ask. We have a long history of working in this industry, learning not only from research but mostly from working events. We have seen what works and what does not. We have entertained at weddings and events in the Pikes Peak region for decades and understand the challenges that may come with events in this area. We track weather, traffic and regional events ensuring ever changing conditions will not affect the service we provide. Keeping updated information on details that may affect your event is an essential part of our daily work.

As your event nears, work begins to shape the details that you have specified with your planner. We do ask that these planners get turned in 30 days in advance for good reason! Supplies are ordered, staffing is secured and paperwork is reviewed and processed. Planners and playlists are reviewed for possible errors or discrepancy. Music files are loaded into our DJ software and checked for quality. Notes are taken in preparation for your pre-wedding discussion and calls are made to cover any details that need immediate attention. When all the preparation is complete and the big day nears, your team will be ready to discuss the details and walk you through the flow and coordination of your event.

By the time your DJ is ready for the big pre-wedding discussion, we have already planned and envisioned the details in your planner several times, updated notes, prepared questions and outlined the flow of your event. As everything is discussed with you, additional notes are taken, any changes are made and if we have done our job right, you feel more relaxed knowing we have it covered.

By this point, you may forget about us knowing we are handling the details but we haven't forgotten you! After speaking with you, we program in all your music for the big day. Specialty songs are played again and double checked for detail and quality, playlists are loaded and any music you may be providing is downloaded, checked and imported into our system. We then verify set up times with your venue and pack all equipment needed for your event in preparation for set up.

On the big day, if we haven't already set up, we arrive about 2 hours prior to load in all lighting and sound equipment to begin the set up along with sound and lighting checks. Then, clothing is changed, hair is combed, smile is in place and then it's on with the show! The greatest show on earth where you are the stars.

There is a lot of preparation involved in each event we do. Some may think the DJ just pushes play, but there is so much more going on behind the scenes to look that effortless. I hope you enjoyed learning about our behind the scenes activities and it helps ease your mind about the thought and care placed into your event. It truly is a labor of love!
